Before we dive into the specifics, you’re probably wondering what ServiceNow is (you’re not alone!). Let’s dig in…

ServiceNow 101

The ServiceNow AI Platform connects every part of our customer's businesses from IT to HR to Finance and virtually any other department through intelligent workflows. The average enterprise company has 360+ applications that different departments use every single day. These can be systems of record like Oracle, SAP, Workday, etc. or unique applications specific to a department that were purchased or custom-built.
These systems of record and apps don’t talk to each other.
This means that users need to “swivel-chair” and manually update records, often in multiple systems, creating unnecessary work and draining productivity. Sounds painful, right?
We can fix all these challenges with the ServiceNow AI Platform. Think of the platform as a system of action that sits on top of all the applications, ingests the data through integrations (without copying the data into yet another place), and creates smart workflows to make work work better for everyone. Plus, our AI Agents can automate the repetitive work and make decisions either with approval or autonomously so people can focus on the more important and complex things in their workday.
Think of a workflow as a step-by-step path that a task follows to get done.
- Imagine you’re in a group project...someone starts by researching, then another person writes, another designs slides, and finally someone presents. That’s a workflow: tasks moving from one person to another until the whole job is complete.
- In companies, workflows happen constantly — approving vacation requests, onboarding a new employee, fixing a broken laptop, or launching a new product.
ServiceNow helps organizations manage all those workflows in one place. Instead of emails, spreadsheets, or sticky notes, ServiceNow organizes tasks so they flow smoothly across departments.
- Centralized Requests: Employees don’t have to guess who to email. They use ServiceNow to make requests — like asking IT for a new laptop or HR for help with benefits.
- Automated Routing: The platform figures out who should handle the request through AI capabilities including Predictive Intelligence and passes it along. No one has to manually forward things. Customers might also implement our AI Agents to take care of tasks seamlessly.
- Tracking Progress: Everyone can see where the task is in the workflow. Is it pending approval? In progress? Completed?
- Consistency: Because the steps are automated, the process is faster, easier to manage, and less likely to run into errors.
- Integration: ServiceNow connects different parts of the company — HR, IT, Finance, Facilities — so employees don’t feel like they’re bouncing around between teams.
Say you're a new employee at Company ABC and need to get started in your onboarding...here's how you might interact with ServiceNow in that process:

You need to sign your offer letter, submit your bank account info to get paid, and request your laptop

You log into a custom portal that walks you through the steps, allows you to sign documents, and asks/answers questions along the way

Multiple requests automatically go to both IT and HR, plus other teams as necessary

HR approves your start date, which triggers a series of updates to Workday or another ERP

IT is notified of your start date, which triggers another step for someone to prepare the laptop

Once ready, Facilities gets notified to mail your laptop out and send you your new hire welcome kit with company swag

You get a confirmation when everything has been updated and the shipments are on their way

Without ServiceNow, you might have to email IT, then wait, then chase HR, then ping Facilities, and each of those teams would have to go back and forth with each other. With ServiceNow, the whole workflow is automated and transparent
